Host your own event?
As you are hopefully aware, you do not need to be a staff member to host events!!! Any member may host their own event. If you wish to host an event, please PM the Event Team with details of the event (including world and meeting location) as well as what day you would like to hold it, the week before the event.
We ask that you follow these general guidelines to make the event as successful and well attended as possible. We understand that there are some impromptu or spur-of-the-moment events, but these are not considered official.
To understand more about official clan events, please read, What constitutes an "official" KoA event?
Check "Upcoming Events"
Look for conflicts and/or events that are close to the time you are planning your event. It is best to leave a couple of hours between start times of events. It may also be a good idea to ensure that there is not another event of the same type within a day or so of the one you are planning.
The Event Post - Events Thread
Pick the proper category and and offer as much information as possible.
The title should include the event name, date and time in GMT (BST) and EST (EDT).
The post itself should offer links to guides if necessary, a time converter, and any other pertinent information you think clan members may need. Please remember there may be people who are going for the first time so be patient!
Please include the event world and location (W64 and W82 are KoA's home worlds but clan events can be held on other worlds.)
Remember to check your post regularly as there will often be questions for you that spring up regarding the event.
Contact an Event Team member
We usually find the thread and add it to the calender and "sticky" the thread ourselves, but it may be a good idea to contact a member of the Events Team to ensure this happens.
Prior to the Event
Try to log into clan chat (CC) earlier than the event time to help people prepare as needed. Be sure to ask if there is anyone going for the first time and be prepared to help answer questions about equipment and inventory setup if necessary. Whenever possible, it may be a good idea to mention your event in CC (as some members neglect to check the forums regularly enough to see upcoming events) in the hours/days prior.
"Oh No! I can't make the Event I planned!"
We ALL have real life commitments and inevitably things come up. If, for whatever reason, you cannot host your event, we do have some options. It may be an event that another staff member may be able to "take over" and host for you. Your first action should be to "pm" the staff to see if anyone else is available to host in your absence. If no one can, cancellation/rescheduling may be the only option. If this is the case, then spread the word! You should edit and bump the event thread as soon as possible to let people know the event has been moved/canceled. You may even want to send "PM"s to those members you know planned on attending. Mentioning the change in CC is also a good idea.
During the Event
We almost ALWAYS use Coin-share (CS). If this is something you will not be doing, you must be VERY clear and upfront with the attending members so that they ALL understand it.
For the purposes of CS, please use your own FC for the event unless there are circumstances that make using an alternate FC advantageous.
Keep an eye on the fellow members and try to be as helpful as possible. Remember, there may be first timers at your event!
Screen shots rock!! - If possible, it is always nice to take a few "screenies" of the event and post them to the event thread or in the KoA Gallery.
After the Event
"It is always a nice touch to add a "Thanks for attending" / "Summary of the Event" post to your event thread. If it was a PvM event, list any big drops. Also, if your event qualifies as an "official" clan event, please include a participant list to identify those who attended the event.
Thanks for reading and enjoy the event!!
If you have any questions, please don't hesitate to ask any of our staff members!

Anyone considering hosting an event should know, that all staff members would be more than willing to help get you started in the right direction. Don't be afraid to ask in game or on forums, privately or openly.Fluff wrote:Don't be shy... If you have wondered about hosting an event yourself please feel free to contribute!
